Version Release Highlights: Enhanced Purchase Receives Management and Sales Reporting
This release introduces significant improvements to purchase receives management and sales reporting. Franchisees can now manager and track purchase receives with full accountability, ensuring accurate inventory levels through purchase order verification and manager authorization. Additionally, newly added sales reports—Scheme, FOC, Regular, and PRORATA—offer deeper insights into sales performance, helping store managers and owners monitor trends, track progress, and make informed decisions. These updates streamline operations, reduce errors, and empower franchisees to optimize sales strategies.
Ability to manage and track purchase receives in PlayClay
Ability to create a purchase executive as Store Executive
Franchisees previously encountered significant challenges with their purchase receives process. There was no system to track who received stock or when, making it difficult to hold anyone accountable, particularly in the absence of the store manager. Without a formal verification process, discrepancies between received stock and purchase orders were common. Moreover, the lack of manager oversight allowed stock to be received without proper authorization, which led to potential inventory errors. These issues contributed to inaccurate inventory levels, audit gaps, and operational inefficiencies, ultimately impacting sales and order fulfilment.
To resolve these challenges, we implemented a system for managing purchase receives, allowing franchisees to track both who received the stock and when. This new process ensures accountability by verifying stock against purchase orders and requiring manager approval for receipt authorization. The result is improved accuracy in inventory levels, better oversight, and streamlined operations, reducing errors and minimizing disruptions to sales and order fulfilment.

Version Release Highlights: Enhanced Order and Receipt Management with Advanced Reporting Features for Franchisees
This release introduces several key enhancements to improve the efficiency and flexibility of managing sales orders, receipts, and sales performance for franchisees. Store Managers can now re-approve sales orders, quickly view and approve pending receipts, and perform tasks like assigning deliveries and uploading invoices directly from the Order Listing User Interface. Additionally, the introduction of Regular Sales Reports and Consolidated Sales Reports provides deeper insights into sales performance, helping Store Managers and Owners track trends, monitor targets, and make data-driven decisions. These updates streamline processes, reduce time spent navigating between pages, and offer more immediate access to essential order, receipt, and sales data.
Re-Approval of Sales Orders Before Invoice Generation
Previously, store managers could only approve a sales order once it was in a "pending approval" state. If any updates or changes were needed after initial approval, the system did not allow for re-approval of the sales order. This limitation made it difficult for store managers to make corrections or updates to the order details before the invoice was generated.
To address this issue, we’ve introduced the ability to approve or re-approve sales orders until an invoice is generated. This new functionality allows store managers to make necessary updates or corrections to order details without the need to finalize the invoice, improving flexibility and accuracy in managing sales orders.
To re-approve a sales order in PlayClay, the store manager should follow these steps:
- Click on the Approve Button against the order that needs to be re-approved

Figure 1 : Approve Button against Sales Order
- On click of which, store manager will be redirected to the Approve Order Page where store manager will be able to update the required details like the sales order line items.
- Note : Store Managers will be restricted to add duplicate line items at any point
View Order Details in Order Listing User Interface
Previously, store managers could not view all relevant order details directly in the Order Listing User Interface, which made it difficult to quickly access key information such as invoice status, delivery progress, or assigned
executives without navigating through the system which was in turn a time-consuming process.
To improve visibility and streamline order management process the following new columns have been added to the Order Listing UI:
- Invoice No: Displays the serial no if a serial number is captured for the order.
- Serial No Status: Shows the status of the serial number linked to the order.
- Invoice File Status: Indicates the status of the invoice file associated with the order.
- Invoice File Link: Provides a direct link to the uploaded invoice file.
- Delivery Status: Displays the latest delivery status of the order.
- Delivered Executive: Shows the name of the delivery owner
With these additions, store managers can now view all critical order-related details directly within the Order Listing UI, reducing the need for additional navigation and improving efficiency.

Quick Delivery Assignment from Order Listing User Interface

To improve efficiency, we've introduced an Assign Delivery Pop-Up Window for quicker delivery assignment. Now, when the "Assign Delivery" button is clicked for orders with a "Pending Delivery" status , a pop-up will appear, allowing store managers / billing executives to assign delivery directly without navigating away from the page.

Quick Invoice Upload from Order Listing Page
Previously, store managers / billing executives had to navigate through multiple steps and pages to upload an invoice file. This process was time-consuming and inefficient, as they were required to go into the specific order details before being able to upload the invoice.
To streamline the process, we've introduced a quick upload functionality using which store managers and billing executives can quickly upload the invoice file without having to leave the order listing page, saving time and improving workflow efficiency.

Quick Approval of Pending Receipts
Previously, store managers had to navigate through multiple pages and interfaces to view or approve pending receipts. The process was time-consuming, especially when there was a need to quickly check or confirm pending receipts.
To enhance efficiency, we've introduced a streamlined process for quickly viewing and approving pending receipts. This update allows store managers to instantly view pending receipts, saving time by eliminating the need for multiple steps. Additionally, with the new quick approval feature, store managers can approve pending receipts directly from the Receipt Listing Page, speeding up the approval process and improving overall workflow.

With the introduction of Mailing of Daily Sales Reports, Store Owners will now receive automated, daily sales reports directly to their email. This feature saves time, ensures they are always informed of sales performance, and enables quicker decision-making without the need to log into the system. By having immediate access to daily insights, Store Owners can track sales trends, monitor progress against targets, and take timely actions to improve business performance.

Version Release Highlights: Streamlined Order Management and Collections for Franchisees
Franchisees frequently relied on spreadsheets or manufacturer-provided accounting tools to manage orders, invoices, deliveries, and collections. While these accounting systems functioned adequately for invoicing, they faced significant challenges in managing and tracking the order, delivery, and collection data they needed. The inability to customize these accounting tools to capture essential data across their business process made it difficult to coordinate operations effectively. As a result, franchisees struggled to track individual responsibilities and monitor incoming cash flow, leading to inefficiencies and potential financial shortfalls
To address these challenges, we introduced a comprehensive solution that enables franchisees to manage orders, invoices, deliveries, and collections seamlessly. Our user-friendly platform offers
customizable features that align with each franchisee’s unique business processes, allowing for more effective data tracking and enhanced operational efficiency. As a result, franchisees can now efficiently track responsibilities and monitor incoming cash flow, significantly reducing inefficiencies and mitigating potential financial shortfalls.
Manage Orders with PlayClay
In the past as mentioned above, franchisees relied on manual methods, primarily using spreadsheets and manufacturer provided accounting systems to manage and track sales orders. This approach led to several challenges, including inaccuracies from manual data entry, inefficiencies in tracking orders across multiple documents, and poor communication between field executives and store managers.
Additionally, the accounting systems lacked the capability to track essential data, making it difficult for franchisees to generate the insights needed for informed decision-making. These issues often resulted in delayed invoicing and fulfilment, ultimately impacting cash flow and customer satisfaction.
Franchisees can now leverage PlayClay’s order management solution to configure business flows according to their specific needs. This platform enables them to track essential data, such as who captured the order, capture date, approved by, and approval date. By centralizing order management and improving communication between field executives and store managers, franchisees can enhance data accuracy and efficiency, leading to timely invoicing and fulfilment, ultimately improving cash flow and customer satisfaction.

Manage Invoices with PlayClay
In the past, franchisees faced significant challenges managing invoice details through manual methods, often relying on word documents and spreadsheets. With the introduction of PlayClay’s Invoicing capabilities, franchisees can now streamline their invoicing process significantly. They can easily update invoice details directly against an order, ensuring accuracy and consistency. Once invoice details are added, billing executives can quickly assign delivery for the order, facilitating a smoother workflow. Manage Deliveries with PlayClay
Franchisees frequently faced challenges in managing deliveries due to a manual process. After the billing executive generated the invoice, they would hand it over to the delivery executives along with the assignment of a delivery vehicle. The delivery executives would then deliver the orders, collect signatures, and return to the store to submit the signed invoices. This cumbersome method led to delays in marking orders as delivered and made it difficult to verify delivery status, resulting in inefficiencies and potential customer dissatisfaction.
To address these challenges, we implemented PlayClay’s Delivery Management system, which streamlines the delivery process for franchisees. With this solution, store managers can quickly assign deliveries to delivery executives and monitor their progress in real-time. Automated updates reduce manual tasks, enhancing efficiency and accountability. This improvement not only accelerates order processing but also boosts customer satisfaction by providing greater visibility
throughout the delivery journey.

Manage Receipts with PlayClay
Franchisees faced challenges in managing and tracking customer payments. When customers requested payment collection, store managers would send a field executives to collect payments made through various methods like UPI, cash, or cheques. However, there was no system to track the payment mode, leading to inefficiencies. Once the collected amount was returned to the store, store managers would manually record it in a receipt notebook before entering it into the accounting system. This process not only delayed receipt creation but also increased the risk of errors, hindering effective financial management and impacting cash flow.
Franchisees can now leverage PlayClay Receipts to streamline their receipts / collection process. This solution allows them to easily track who collected each payment and the collection date, ensuring greater accountability. By integrating various payment methods into a centralized system, franchisees can efficiently manage collections and automatically record transactions, reducing the risk of errors. This enhancement simplifies the collection process, improves cash flow monitoring, and ultimately strengthens financial management.

Planned Scope
As of June 20th 2023, the version of PlayClay available in the market is R1.1.15. This document highlights the key areas of innovation planned for PlayClay Version R1.1.15 as described below.
Enhancement to the ability of adding an email address in the billing/shipping details section in Quote Creation Page
Earlier when users used to add email addresses in non-acceptable system format, the system used to throw an error. This was seen when a user adds an email address like “ Email@abc.com” where the email prefix starts with capital letters.
In the current version of PlayClay this validation is removed and user will be able to add any email address as per users’ needs and user will not be able to able to see any validation error unless the email address follows the system format “abc@gmail.com” , “123@xyz.com” , Elephant@ert.com

Figure 1: Removal of validation from email address fields
Ability to quickly deselect account/contact information in quote creation page.
Earlier user was not able to deselect an account/contact in the quote creation page if the user wanted to create a quote with a contact that is not linked to the account. In such a case user must refresh the entire quote creation page to enable a quote creation with a contact in such a case
Also, if a user has mistakenly added any account in the quote creation page user will not be able to quickly deselect the account in such a case.
Hence to enable the user to quickly deselect an account/ contact a cro ss button is added both in the account and contact field in the quote creation/update page on click of which system will clear out the required data in the respective fields and user will be able to add if required again

Figure 2: Introduction of cross button in the account field

Figure 3: Introduction of cross button in the contact’s name field
Ability to configure margins in quote template.
PlayClay template editor is enhanced to enable a user to apply required page margins and header/footer margins in a template. By default, system will load the template with following page margins, but user will be able to update if required
- Top Margin = 30
- Bottom Margin = 30
- Left Margin = 30
- Right Margin = 30
This is enhanced to accommodate the latest template of the manufacturer. However, when user adds an image into the header section system defaults the top margin to 100 , but user will be able to edit if required

Figure 4: Defaulted page margins to support template designs.
By default, system will load the template with following header/footer margins , but user will be able to update if required.

Figure 5: Defaulted header/footer margins to support template designs.
Ability to header /footer in Tabular format
Earlier users used to face alignment and spacing issues while adding Header/Footer in PlayClay Templates. This is now fixed via the introduction of the Tabular configuration of header/footer. As shown in the screenshot below , in order to add header/footer to the quote template user needs to click on the header and footer button to add a header or footer respectively.

Figure 6: Header/Footer button in the template editor
On click of the header/footer button, the system will load the column options in the template editor as shown below where the user will be able to choose any of the available options.

Figure 7: Header/Footer Table options for alignment
On click of any of the column option system will enable the header/footer section and will load the header/footer section and load the column in the header/footer section respectively and user will be able to update if required as shown in the screenshot below

Figure 8: Sample insertion 2 column table (image + text) in header/footer on selection of Image + Text option
Once the system has enabled the header/footer section, users will be able to quickly update the header/footer margin using the header/footer formatting toolbar. By default, the header/footer margin is set to the following.
- Header from Top : 15
- Footer from Top : 15
However, user will be able to update if required using the page setup option as mentioned above
Ability to view footer (if any) in the quote template.
Earlier when a user had added footer details/section in the configured template , then the user was not able to view the footer section in the system generated quote template pdf. This issue was encountered by the user due to server-side challenges.
With the current version of PlayClay , if a user adds footer details like Project Name , Account Name , Page No etc as shown in the UI below , user will be able to view the footer details in the system generated quote template pdf.

Figure 9: Sample insertion of footer in template editor
Figure 10: Sample footer in quote template pdf
Also, in addition to that earlier use to witness that the page numbering was not increase when the count of the pages was increased, which is now fixed. By default, system will always insert the page number in the bottom right corner of the template editor/page as shown in the image above . Please note that today even if the user will be able to add the page number anywhere in the template editor but when the quote template is generated system will always add the page number in the bottom right corner of the page as shown in the image above.
Due to the page number defaults to the bottom right corner the table cells that add the merge field are left to be blank on the quote preview and PDF Rendered
Bug Fixes
- Earlier when user performs add and delete of quote table then user used to get spacing issues, which is now fixed.
- Earlier when user is deletes any column or cell in the quote table while configuring the template
user use to witness undefined and adjustment in generated the quote pdf. This issue is now fixed.
Know Issues:
- Jims template Issue: Improper Image Alignment Issue : If the user has added an image + text in the header where the image is by default to the left side in the cell and publishes it then the user will witness that the image is coming in the middle of the cell in the quote preview and PDF rendered.
- The additional charges and the three-column table are coming on the same line in the quote preview : If the user creates a template via adding Quote Table, Add-ons Table, 3 Columns and publishes the respective template, then in the quote preview user will witness that the additional charges and the three-column table are coming on the same line.
- Double line margin for the quote table issue: User will witness that quotes with large line items like more than 25 having sub-total will have a double margin in the quote preview and PDF rendered.
- HOTFIX KARLAS ISSUE Play clay: - While zooming out the PDF is getting blurred: The above Karala issue only occurred when the screen resolution is not fit to 100% and this results the pdf being blurry while zooming out on the quote preview. However, the 100% zoom works perfectly.
- HOTFIX KARLAS ISSUE Play clay: - When there is no subtotal quote table is getting cropped: If user has created a quote without subtotal and submits the same , while generating the quote pdf user will be able to view that the quote table is being cropped.
- Old Templates Header is getting cropped at the top in the preview and PDF if the margin size is not set to 120: The header is getting cut at the top of the page in the quote preview and in the PDF rendered for the old templates however if users will change the margin size to 120, we will not see this problem.
- Increase in the Margin size adjoining the quote line-item table with the Header and Footer: If the user configures a template via doing the following steps
- Configuring the left and right page margin size to 50
- Configuring top and bottom page margin size to 100
- Add a three-column table in the header and
- Add a three-column table in the footer and then and publishes the template.
Then user will witness that the margin size is increased resulting in merging of the quote line-item table with the Header and Footer
- Template ‘{}’ issue: - If the text size is larger and the merge field '{}' is in BOLD, then user will be able to witness that the rendered quote template is a blank page in the quote preview.
- Old Templates Issue: Editing the old templates is loading the quote table in the preview screen for some templates and for some templates it disables the quote table, and the addon table is added to the baton template creation page.
- Extending the header up to an extent causes the adjoining issue: The quote line-item table is adjoining the header when the user increases the size of the image up to an extent.
- Template is getting unresponsive and hanged: When the user adds three column table in the header and performs the insert and delete of columns more than three times then the document editor will be hanged and unresponsive.
Spacing issue & Adjoining issue (Deletion and Re-Addition of any column table in the header causes spacing b/w the quote table and the header)
When the user adds a 3-column table in the header and a quote table on the main page and publishes it, then edits the templates and removes and re-adds a 3-column table, removing and re- adding causing a spacing issue between the quote table and the header, and if a quote had large line items, it is adjoined with the header and footer.
New Templates are not loading in the preview screen when the last and first column of the quote table is got deleted or in case when user updates the column names
The user created a template like Jim’s; then, in the quote table part, some issue is triggered, which makes the user unable to see the template loaded on the preview screen.
Note: Deleting the first and last column in the quote table is causing the issue
i.e., By deleting the last and first column in the quote table which had book bark is causing the problem.
- Subtotal added in the quote table is not reflected in the quote preview and the PDF rendered. User might witness that the subtotal if added while creating a quote is not reflected in the quote preview, and the PDF rendered.
Notes added in the quote table are not reflected in the quote preview and the PDF rendered.
User might witness that the notes if added while creating a quote are not reflected in the quote preview, and the PDF rendered.
If the column count of the quoteline item table is set to less than six during template configuration system will not load the quote table in the preview and the PDF rendered
If the number of columns deleted from the quote table is less than six, then the quote table created during template creation does not load in the quote preview or PDF rendered.

• Some of the calculations in Excel sheet in the Quote Creation Page was earlier rounded down which in turn was impacting the net value of the Quote. PlayClay CRM is now enhanced to support rounding off the respective calculations going ahead
• Issue was reported against addition of subtotal before additional charges- Our team did try to regenerate issue, but this seems to cache issue and browser history problem.
• It was earlier reported that user was not being able to “advance and actually create a quote” as user had to use the scrolls as was present in the UI. This is now fixed with the enhancement of the UI as shown below
• Appearance of address fields are corrected as requested. But this will be now handled on the user end with the introduction of Template feature in PlayClay.
• Dollar Formatting issues is fixed to accommodate commas in all totals in printed quote templates as requested
